Privacy Policy

This policy applies to information we collect through CampusBoard, and in email, SMS, app notifications and other electronic communications sent in connection with it.

CampusBoard ("CampusBoard," "the Company," "we," "us," "our") provides a cloud-based Learning Management System (LMS) and Enterprise Resource Planning (ERP) platform licensed to independent schools, colleges and universities across India ("Partner Institutions") for use by their students, faculty and staff ("Users," "you").

This policy describes the types of information we collect through CampusBoard and related applications (the "Services"), and how we collect, use, maintain, protect and disclose that information.

A note on roles: for most personal information processed through CampusBoard, your Partner Institution acts as the data controller (it decides what data is collected and why), and CampusBoard acts as a data processor/service provider acting on the Partner Institution's instructions. Questions about how a specific Partner Institution uses your data should first be directed to that institution; this policy explains CampusBoard's own practices as the platform provider.

Please read this policy carefully. If you do not agree with our practices, your choice is not to use the Services. By accessing or using CampusBoard, you agree to this Privacy Policy. We may update this policy from time to time; your continued use of the Services after changes are posted constitutes acceptance of those changes.

I. The Information We Collect

We collect several types of information from and about users of CampusBoard, including information:

• By which you may be personally identified; and/or
• About the device and internet connection you use to access the Services, and your usage details.

We collect this information:

• Directly from you, or from your Partner Institution (including via SIS integrations such as PowerSchool), during registration, enrollment or ongoing use of the Platform; and/or
• Automatically as you use the Services (including usage details, IP addresses, and information collected through cookies and similar technologies).

Information You or Your Partner Institution Provide to Us

• Account and identity information: your full name, date of birth, contact details (email, phone number, address), enrollment/roll number, school/campus and program details, and login credentials.
• Academic information: attendance records, assignments, examination results, grades, backlogs, timetables, and other academic records maintained on the Platform.
• Fee and payment information: fee schedules, payment status, and transaction references relating to fees tracked or collected through CampusBoard on behalf of your Partner Institution. (Actual payment processing is handled by our payment partners; we do not store full card or bank credentials.)
• Communications: messages, notices, and content you exchange with faculty, staff or other students through the Platform.

Information We Collect Automatically

• Usage information: pages and features accessed, session duration, click and navigation data, and error logs.
• Device and connection information: IP address, device identifiers, operating system, browser type, and mobile network information.

Anonymized or De-Identified Data

We may anonymize or de-identify information collected through the Services, including via analytics tools. Our use and disclosure of aggregated or de-identified data is not restricted by this Privacy Policy.

II. How We Use the Information We Collect

We use the information we collect to:

• Provide core LMS/ERP functionality, including attendance, grading, timetabling, and fee tracking, on behalf of your Partner Institution.
• Process and respond to queries from students, faculty and staff.
• Understand how the Platform is used, diagnose technical issues, and improve features.
• Send communications related to your enrollment, coursework, attendance, fees, or Platform updates, via email, SMS, app notification, or other means, on behalf of your Partner Institution or CampusBoard.
• Carry out our obligations and enforce our rights under our agreements with Partner Institutions, including billing for CampusBoard subscriptions.
• Maintain and improve integrations with third-party Student Information Systems (e.g., PowerSchool) that your Partner Institution uses.
• Comply with applicable law and regulatory requirements.

III. How We Share the Information We Collect

We may disclose personal information in the following ways:

• With your Partner Institution: academic, attendance and fee-related information is available to the relevant Partner Institution, since it is the institution operating your account on CampusBoard.
• With contractors and service providers: third parties who support our business (such as payment processors, cloud hosting providers, or SIS integration partners) and who are bound to keep information confidential and use it only for the purposes we specify.
• For legal purposes: where we believe in good faith that disclosure is necessary to investigate or prevent illegal activity, comply with legal process, protect the rights, property or safety of CampusBoard, our users, or the public, or respond to requests from law enforcement or regulators.
• With your consent: in any other circumstances where you have given consent.

We do not sell personal information, and we do not share personal information with advertising agencies.

IV. Your Choices

You can configure your browser or device to refuse or alert you about cookies. Certain features of CampusBoard may not function properly without them.

V. Communications Choices

As a registered user, you will receive academic and administrative communications from CampusBoard and/or your Partner Institution (for example, attendance alerts, fee reminders, and academic notices). These are necessary for the Platform to serve its purpose and cannot generally be opted out of while your account remains active.

VI. Reviewing, Changing or Deleting Information

If you would like to review, correct, or request deletion of the personal information CampusBoard holds about you, please contact us using the details in Section XI below. Where the record is controlled by your Partner Institution, we may direct or route your request to that institution.

VII. Accessing and Correcting Your Information

We take reasonable steps to ensure the accuracy of the personal information provided to us. Your right to review, correct or delete information may be limited where: the request is abusive or unreasonably excessive; it would infringe the rights or safety of another person; it relates to an ongoing academic, disciplinary or legal process; or retention is required by applicable law, regulatory obligation, or your Partner Institution's own record-keeping requirements.

VIII. Security

We implement appropriate physical, electronic and managerial safeguards appropriate to the sensitivity of the information we hold, consistent with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and, where applicable, the Digital Personal Data Protection Act, 2023.

While we use commercially reasonable measures to protect your information, no system can be guaranteed completely secure. You play an important role in keeping your account secure — do not share your login credentials, and notify us immediately of any suspected unauthorized access.

To request deletion of your account, please contact us using the details below (subject to your Partner Institution's records requirements).

IX. Third-Party Links and Services

CampusBoard may link to or integrate with third-party services (for example, a Partner Institution's SIS, payment gateways, or video-conferencing tools). We are not responsible for the content or privacy practices of these third parties, and encourage you to review their privacy policies separately.

X. Changes to This Privacy Policy

We may amend this Privacy Policy from time to time to reflect changes in law, our data practices, or Platform features. Material changes will be posted here, and your continued use of the Services after such changes constitutes acceptance.
